Administrative Assistant (Bilingual Spanish)

Job Description

We are seeking a highly organized and professional Administrative Assistant to support daily office operations and provide exceptional administrative support to staff, clients, and community partners. The ideal candidate is bilingual in English and Spanish, possesses strong communication and organizational skills, and thrives in a fast-paced environment. Experience in the healthcare or nonprofit sector is preferred.

Responsibilities

  • Provide administrative support, including scheduling appointments, managing calendars, and coordinating meetings.
  • Answer and direct incoming phone calls, emails, and correspondence in both English and Spanish.
  • Maintain accurate records, databases, and filing systems while ensuring confidentiality.
  • Assist with data entry, report preparation, and document management.
  • Welcome and assist clients, visitors, and community members in a professional and courteous manner.
  • Support program staff with administrative tasks, special projects, and event coordination.
  • Monitor office supplies and coordinate purchasing as needed.
  • Ensure compliance with organizational policies, procedures, and recordkeeping requirements.
  • Perform general office duties to support efficient daily operations.

Qualifications

  • High school diploma or equivalent required; Associate's degree preferred.
  • Minimum of 1-2 years of administrative or office support experience.
  • Bilingual in English and Spanish (required).
  • Experience in a healthcare, social services, or nonprofit environment preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
  • Excellent verbal and written communication skills.
  • Strong organizational, multitasking, and time-management abilities.
  • Ability to handle sensitive and confidential information with discretion.
  • Demonstrated attention to detail and accuracy.

Requirements

  • Successful completion of a criminal background check is required prior to employment.
  • Must be authorized to work in the United States.
  • Reliable transportation and punctual attendance.
